We have made a comprehensive review of SOP export features. We added Word export and redesigned the standard PDF to look like a printed form. The export format feature (which we released on August 21, allowing you to export in your own company's format) now supports Word and PowerPoint templates in addition to Excel.
Custom Format Export now supports Word and PowerPoint
The export format feature released on August 21 only supported Excel (.xlsx / .xlsm) templates. With this release, you can now register Word (.docx / .docm) and PowerPoint (.pptx / .pptm) templates. The way you write merge tags is the same across all formats.
Your registered templates appear with their names in "Export" → "Excel", "Word", and "PowerPoint" in the SOP details screen. When you register a template, it appears at the same level as "Standard".
●The way step frames expand differs by format
- Word: place only one step frame. Rows increase by the number of steps. You do not need to write numbers
- PowerPoint: if your format places one step on one slide, placing one frame on the slide increases slides by the number of steps. If your format uses two or more slides per step, place a start tag on the first slide and an end tag on the last slide, and the sequence expands. If your format places a list table on one slide, place a frame in one row of the table and rows expand
- Excel: as before, you line up frames as many as you need. This differs from the other two formats because we keep row counts the same to preserve formulas, print settings, and macro references
●Important notes when creating PowerPoint templates
- Place step and revision history tags on the slide itself, not in slide masters or layouts
- Tags written in "Click to add" placeholders do not take effect. Draw a text box and write tags inside it
- Place photo tags in their own text box sized for the photos. If you place them in the same shape as body text, text overlaps
●We prepared sample templates in Excel, Word, and PowerPoint
From "How to create a template" in the settings screen, you can download samples in all three formats. You do not have to build from scratch — you can simply add merge tags to templates you already use.
●Usage conditions
- Available on the Enterprise plan
- Supported file formats are .xlsx / .xlsm / .docx / .docm / .pptx / .pptm, up to 50 MB per file
- Team Administrators and above can register and delete templates; users with SOP export permissions can export
- Navigate to "Dictionaries / Templates" in the side menu, then "Templates", then "Export format"
For how to create templates, registration steps, and a list of tags, see Export SOPs in your own company format (Export format).
Standard PDF now has a form-like layout
Previously, the standard PDF had a cover page first, followed by one step per page. Because pages increased by the number of steps, a 20-step SOP became 21 pages, which was too thick to distribute in the field and hard to scan. We heard this feedback and redesigned it to look more like an actual work standard document.
We redesigned the standard PDF to use a format closer to actual work standard documents.
●Content starts on page 1 with no separate cover page
Page 1 begins with an overview (description on the left, cover image on the right), followed immediately by the step list. We removed the need to turn a page before starting work.
●Each page displays the document name, Rev, and page number in a box at the top
Now any page you pull out clearly shows which SOP and which version it is. We removed the footer and "Confidential" marking that appeared at the bottom before. Confidentiality classification is specific to each customer — we cannot apply it uniformly across all SOPs. If you need to mark an export as confidential, add it in your custom export format template.
●Steps appear in a 3-column table with one step per row
- From left to right, the columns are "Thumbnail", "Work procedure", and "Important safety information / Notes"
- Jump URLs and QR Code for each step stack vertically in the thumbnail column (or in the work procedure column if thumbnails are not displayed)
- Column headers repeat at the start of each page
- Row height adjusts to the amount of content per step, and horizontal lines separate each step
- Photo size is designed so about 4 steps fit on one page
●Revision history is compiled on the last page
●You can now choose which items to export
Previously only Excel allowed you to choose export items. Now PDF and Word do as well. You can choose which items to include: Thumbnail / Step heading / Step details / Work tips / Quality warnings / Important safety information / Questions / Audio (subtitles) / Revision history (last page). When you exclude an item, that entire column disappears from the printout.
●Noto Sans JP font is embedded
Fonts are embedded in the PDF so it displays identically on any device, even if that device does not have the font installed.
Word export added
Previously, Dive could export to PDF, Excel, PowerPoint, and MP4. Word was not available. Customers who use Word to manage work standard documents had to manually copy content from PDF or Excel exports.
With this release, "Word" has been added to the "Export" menu in the SOP details screen. Select it and export as .docx immediately. Because the exported file is editable in Word, you can make adjustments to match your company format or paste it into other documents.
●Layout is the same as standard PDF
The structure is the same: overview on page 1, followed by the step list, and revision history on the last page. PDF and Word exports look identical so you get the same printout either way.
●Usage conditions
- Available on Core, Pro, and Enterprise plans (same conditions as PDF Export and Export to Excel)
- Run from "Export" → "Word" in the SOP details screen
- You can choose which items to export and whether to include jump URLs and QR Code when you export
Impact on existing usage
The content of already-created SOPs has not changed. Files you have already exported are not affected.
The standard PDF layout has changed from this export onward. It is no longer one step per page, and it no longer has a cover page, footer, or confidentiality marking. If you need the old layout, register your company format in the Export format feature (Enterprise plan) and use that. The layout of standard Excel and PowerPoint exports has not changed.
