You can open the Word, Excel, and PowerPoint files of a published file-based SOP in read-only mode in Office on a Windows PC. Use this when you want to see the original file in Office instead of the PDF shown on screen. Saving in Office does not change the file in Dive.
This feature is available only to customers on the Pro and Enterprise plans. Use a web browser on a Windows PC. Office (Word, Excel, and PowerPoint) must be installed on the PC.
Requirements
- It is a published file-based SOP, and its file is Word, Excel, or PowerPoint. PDF, URL, and other file types are not supported. It is not shown for drafts.
- You are using a Windows PC. It is not shown on Mac, smartphones, or tablets.
- Your role is allowed to download file-based SOPs. This is decided by “Download of file-based SOPs” under [Permitted user roles per feature] in Owner Functions.
- You are logged in to the team. It is not shown to users invited as Guests or when viewing through an External Sharing URL.
- You are online.
How to open
- Open the file-based SOP. The steps are the same whether you open it from a Folder, from Search, from Home, or from anywhere else.
- Click [Open on desktop] on the bar above the viewer (to the left of [Download]).
- If the browser asks whether to open Office, select Open. The file opens in Word, Excel, or PowerPoint.
When you view the SOP in a translated language, the translated Office file opens (See also: view file-based SOPs and step PDFs in translation).
How it looks in Office
- The file opens in read-only mode. A “Protected View” bar and an [Enable Editing] button may appear at the top. Even if you click [Enable Editing], the file stays read-only.
- You cannot save over the file. If you try to save, a message saying the file is read-only and cannot be overwritten may appear, or the [Save As] screen may open.
- You cannot save to the location shown first on the [Save As] screen (dav.divedx.com). To keep a copy on your PC, choose a folder on your PC, such as Desktop or Documents, and save there.
In all cases, the Dive file (the published version) does not change. To edit the file, use [Edit on desktop] in a draft revision (See also: edit a file-based SOP directly in Office on Windows (Edit on desktop)).
The link to open the file expires after 1 hour. If you open it again after some time, click [Open on desktop] again.
