Once you have completed everything, take a [Snapshot] of your Skill Map. When you take a snapshot, the contents of your Skill Map at that point are converted to Excel format and saved to the database.
You can check past states and also keep it as an approval record, which you can use for audit compliance. It is recommended to operate on a schedule that fits your situation, such as once per quarter.
For an overview of the Skill Map, see What is Skill Map? / How to read Skill Marks.
Snapshot steps
Execute from [Other] → [Snapshot] on the Skill Map screen. You can check and download past snapshots from [Other] → [Snapshot history].
From the past snapshot history list, you can check and download the saved Skill Map as Excel.
Snapshot contents
What is saved is the skill definitions at that point, evaluation levels of members, and development plans, plus skill links (courses that build the skill, qualifications that demonstrate it, and target level when all are completed). Since the rationale for the level increase itself is preserved, you can check the state at the time the snapshot was taken, even if you change the links later.
The file exported from [Other] → [Export to Excel] on the Skill Map screen contains a "Skill links" sheet, where you can see a list of courses that build each skill, qualifications that demonstrate it, required qualifications, related procedures count, and target level on completing procedures (Excel export is for Pro / Enterprise plans).
Useful in situations like these
- Audit compliance: Save snapshots quarterly as evidence of competency management (7.2) under ISO 9001
- Approval record: Keep the skill status at the point when management approval was obtained
- Reviewing changes: Compare how the skill status has changed over periods such as six months or a year
Tips for effective use
- Regular execution: Setting a fixed schedule such as quarterly closing or fiscal year-end helps establish the practice
- Designate a person in charge: Making it clear who executes the snapshot prevents missing records
- Save at milestones of change: Taking snapshots before and after major organizational changes or skill definition reviews allows you to review the impact of changes
