This feature allows you to export a proposal document (PowerPoint) for internal approval and pitches to management, with actual results from your Usage Report inserted directly. The file includes economic impact, ROI, payback period, plan selection rationale, implementation roadmap, and decision items all in one document — you only need to fill in a few fields like company name and submission date.
There are no restrictions based on your contract plan. You can export from free plans and teams In trial. Use a PC browser (exporting from a smartphone may fail when creating or saving the document).
Who can export
The button appears on screens of users who meet both of these conditions:
- You are an Owner or Team Administrator
- You have the team's Usage report export permission (initial setting is Group Administrator or above)
With the default settings, both Owner and Team Administrator can export. For Enterprise plans, you can change the permission threshold in Owner Functions > Security > Permitted user roles per feature on the Usage report export row (only the Owner can change this). If you restrict it to "Owner only" or similar, the Team Administrator's button will be grayed out. For details, see Permitted user roles per feature (role restrictions for download, export, and sharing).
Steps to export
- Open Usage Report in the sidebar
- Filter by Aggregation period and Group at the top of the screen (the totals for the range you select here will become the numbers in the document)
- Click Export for ringi (PPTX) in the upper right
- Review and edit the input fields in the modal that appears
- Click Export ringi proposal
The file downloads in a few seconds. The filename is "[Company name]_Introduction ringi proposal_YYYYMMDD.pptx".
At the top of the modal, you'll see the aggregation period, number of people covered, savings, and ROI that will be reflected in the document. If these don't match your expectations, close the modal and adjust your period or group filters, then try again.
Input fields
Basic fields
- Company name: The company name registered in your team appears here and is reflected on the cover and throughout the document
- Name (applicant / lead): This appears on the decision items page as the lead responsible for implementation
- Submission date: The default is today's date. This is also used in the filename
- Applicant department: Auto-filled from the group the currently logged-in user belongs to, but you can edit it manually
- Plan: The plan you're proposing in the ringi (Lite / Core / Pro / Enterprise). The pricing, features, and selection rationale for your chosen plan will be reflected in the document. Current plan is the default (or Core if on a free plan)
- Production scale (users): The number of users you expect in the ringi. The default is your current aggregation target. This is used to calculate the "state one year from now" by extending actual results to this scale
- Procedure to use as a sample: Select an SOP to include as a real example in the document (optional). The default is the most viewed SOP within the selected period
Advanced settings (optional)
Open Advanced settings (optional) at the bottom of the modal to adjust the following:
- Include feature details (Part 2): On by default. Turn off to omit the detailed product features page and create a shorter document with just the ringi body (Part 1)
- Conservative factor: The discount rate applied when scaling results up to production scale (70–100%, default 85%). Lower values produce more conservative estimates
- Key challenges (up to 3): Reflected in the three boxes for "shop floor challenges we'll solve" in the document. Choose those that best match your situation
- Effect measurements to focus on: Reflected in the description text on the ROI page
What's in the document
The exported document has two parts.
Part 1 (Ringi body)
- Application details (company name, applicant department, submission date)
- Shop floor challenges to solve (the 3 you selected in advanced settings)
- Return on investment: Impact breakdown (A. Initial training substitution / B. Question substitution / C. Creation efficiency), annual cost, ROI multiple, payback period, expected effect one year out at production scale
- Plan comparison table and rationale for your chosen plan
- Security and permission management
- Implementation roadmap (12 months)
- Expected risks and mitigation
- Decision items (contract amount, implementation department, implementation lead, success KPIs, review date)
Part 2 (Feature details)
Product feature description pages. Omitted if you turn this off in advanced settings. Use the off setting if you want to reduce the page count for in-person ringi approval, or keep it on if you want to start with a product overview.
The file exports as a standard PowerPoint document. You're free to edit text, add or remove content, rearrange sections, and adapt it to your company's format.
About the numbers in the document
- All amounts and hours are annualized (365-day basis) from your actual results in the selected aggregation period and group. For more accuracy, select at least Last 1 month or longer, since shorter periods can skew results
- Production-scale impact is calculated as "annual impact per person × production scale × conservative factor"
- You can change assumption values like Hourly rate and prior training hours per task in the Economic Impact / ROI tab, and those changes will be reflected in the document
- You can export even with limited usage history. If numbers seem small, you can export again once you have more data
For details on how numbers are calculated, see Check implementation impact in the Usage Report.
Proceed to estimate and order after exporting
When an Owner or Team Administrator exports, a message "You can proceed to estimate and order as is" appears right after download. If you choose Proceed to estimate & order, you can move forward to request a quote (PDF) and place an order with the same plan as in the document. If you choose Later, the document remains saved.
For details on the quote and contracting process, see Paid plan contracts, billing, renewals, and cancellations.
Frequently asked questions
The button isn't showing or is grayed out
You don't have the required permission. Only Owner and Team Administrator users see this button. If your Enterprise plan restricts the "Usage report export" permission to "Owner only" or similar, even Team Administrators will see it grayed out. Check with your team's Owner.
Can I export from a free plan or In trial?
Yes, you can. There are no plan restrictions. In fact, this feature is designed for users to bring trial-period results directly into a ringi proposal. Once you accumulate enough usage data, a message at the top of the Usage Report will suggest creating the document.
The impact amount is smaller than expected or shows zero
If there are no views or publish events in your selected period and group, impact can't be calculated. Try expanding the period or removing group filters, then export again. Impact may also be lower if assumptions like hourly rate don't match your actual situation.
I want to change the company name or department on the cover
Edit the Company name and Applicant department fields directly in the export modal before exporting. You can also edit them later in PowerPoint after export.
I want to customize the challenges in the document to our language
You can choose up to 3 challenges closest to your needs from Key challenges in advanced settings. If you need different wording, you can edit the PowerPoint after export.
Can I export from a smartphone?
We recommend exporting from a PC browser because document creation and saving may fail on smartphones.
