For each procedure, you can check on a single screen how many times it was viewed during a period, who viewed it and who has not yet viewed it, how each person answered the questions in each session, and which checkpoints are frequently answered incorrectly. This screen is called "Viewing records".
You can open it from the step list, procedure details, Usage Report, or personal page—all show the same screen. When you open it from the Usage Report, the time period and filters you selected in the Usage Report are carried over as-is.
How to open
- Step list (folders, search results, Favorites, etc.): Select "Viewing records" from the procedure's […] menu. This option appears only for Owners, Team Administrators, and Group Administrators. You cannot select it for draft procedures
- Procedure details: Press "Viewing records" at the top of the screen, then select from "Groups & users", "Work records", or "Stumble map". You cannot press it if there are unsaved changes
- Usage Report: Switch the breakdown in the "Viewing records" tab to "Procedure", then press the procedure name. From a "Draft status" tab row, the work records for that procedure open
- Personal page "Viewing records" tab: Press the procedure name to open it filtered to that person. Press a row in the viewing history (timeline) to open the details of that session's work records
Created users and view-only users can check only their own portion (work records and stumble map) from the "Viewing records" in the procedure details. Guests cannot see this.
How to read the screen
From the top, the target and period, Summary, and display switches ("Groups & users", "Work records", "Stumble map") are arranged in order.
Target and period
- Target: The number of people in the viewable range. Owners and Team Administrators see the entire team; Group Administrators see the group they manage (direct members plus subordinate members). A Group Administrator who does not belong to any group sees only their own records
- Period: Choose from "All time", "Last 1 week", "Last 1 month", "Last 3 months", or "Last 1 year". When you open it from the Usage Report or personal page, the same period as that screen is selected first
- "Refresh to the latest records": Appears except when opened from the Usage Report. Press it to re-read the records
Summary
Displays views, Users (what percentage of the target viewed it), Views per person, and Last viewed. When the procedure has questions and there are answer records, it also displays incorrect-answer rate, Stumble, and Self-completion rate. The names and meanings of the numbers are the same as in the Usage Report and personal page (Check implementation impact in the Usage Report).
Related skills
When you set this procedure as a related procedure for a skill, the skill name is displayed above as "Related skills" (for Owners, Team Administrators, and Group Administrators). Solo completion and completion are used to judge the skill level according to your team's automatic evaluation settings.
Groups & users
You can check who viewed this procedure and who has not yet viewed it.
- "By group" displays a tree of Group → subgroup → users, while "List" displays one row per person (sorted by most views). Teams without groups display in list view
- You can filter by "All", "Viewed", or "Not viewed". "Viewed" and "Not viewed" are determined by whether they viewed it during the selected period
- Type in the header of the name column to filter by group name or user name. Groups matching the group name display all their members. The button at the right end of the header toggles between "Expand all" and "Collapse all"
- Columns: View status (for group rows, "viewers / total people in scope"), Views, Last viewed, Incorrect-answer rate, Stumble, Self-completion rate, Solo completion
- Press a user name to open that person's personal page ("Viewing records" tab). The selected period is carried over
- Press "This person's records" in a row to filter the screen to that person. Use "View everyone" to return to the original state
- "Solo completion" column: Same judgment as the skill's automatic evaluation. It judges based on all past work, regardless of time period or authority filters (the number of times for solo completion is set in Team settings). Press the badge to open that person's stumble map with the period set to "All time" (use "View everyone" to return to the original period). People who stumbled after solo completion and people who have not yet worked on the latest version after the procedure was updated also display a "Needs re-check" badge. Group rows show the count of solo-completion people and needs-re-check people. This appears for procedures with question answers or when the procedure is a related procedure of a skill (Auto-update skill level based on course completion, certification, and procedure results)
Work records
For each viewing session, a table showing how each person answered the questions. Each row is one session, each column is a question in that version. You can also check records of pass/fail judgment questions used in inspection sheets and checklists here (Pass/fail judgment questions and work records (checklist and sheet operations)).
- Use the version dropdown to switch between all versions or a specific version
- Below the table, "Total (this period)" always displays for each question the count of abnormalities (for numeric input, the average)
- You can filter and sort by the status column, date and time held column, and others
- Press a row to open the details of that session (answers to all questions and comments)
- Use "Export" to write the displayed records to a CSV file (Pro, Enterprise plans)
Answer content display is available with Core plan and above. With plans below Core, only question headings are displayed.
Stumble map
For each checkpoint, displays how many people answered incorrectly and which choices they selected. Press the name of a person who answered incorrectly to filter the screen to that person. Use this to improve procedures with many stumbles or to identify people who need individual follow-up. Available with Core plan and above.
View filtered to one person
When you open from "This person's records" in Groups & users, a name in the stumble map, or a procedure name in the personal page, you see it filtered to that person. The numbers in the Summary become that person's numbers, and only two displays appear: "Work records" and "Stumble map". Administrators can use "View everyone" to return to the entire procedure.
