A file-based SOP (an SOP that shows Word, Excel, PowerPoint, and PDF files as they are) can be machine-translated and shown with its layout kept intact when you choose a language on the viewing screen. The original file is left as it is. A translated copy is created separately. PDFs shown in the steps of a Dive SOP are also translated and shown the same way when you choose a language in the player (see "View step PDFs of a Dive SOP in another language" in this article).
Available only to customers on the Pro and Enterprise plans. A translation is created when the person viewing the SOP chooses a language.
View a translation
- Open the file-based SOP and click the translation icon at the top of the screen (hover over it to see "Translation")
- In "Language settings," choose the language you want to view. Choosing a language works the same way as in the players of other SOPs
- If there is no translation yet, one is created right away (the message "Translating into (language). This may take a few minutes." appears). When it is ready, the screen switches to the translated file
- While you view a translation, "Machine translation (language)" is shown on the screen. Use "Back to original" to return to the original file
The language you choose is remembered on your device, so the next time you open the SOP it is shown in that language (if there is no translation yet, one is created).
About translated files
- A translation that has been created can also be used by other people who view this SOP. For people who choose the same language, the existing translation is shown right away
- While you view a translation, the SOP name is also shown in the language you chose
- If you download while viewing a translation, you get the translated file. The file name is the SOP name with "(language)" added. Whether you can download follows your team's download permission settings
- If you have registered translated terms in the Terminology Glossary, those terms are used for the translation
- When you make a revision to an SOP and replace its file, a translation of the new file is created. While the file stays the same, the translation of the previous version is used as it is
- For Word, Excel, and PowerPoint, the .docx, .xlsx, and .pptx files are translated. For the older formats (.doc, .xls, .ppt) and .xlsm, the PDF shown on the screen is translated
View step PDFs of a Dive SOP in another language
When a Dive SOP (an SOP divided into steps) shows a PDF in a step, choosing a language in the player also machine-translates and shows that PDF, along with the step text, subtitles, and read-aloud. For how to choose a language, see How to use automatic translation.
- PDFs are translated in order, starting with the step you have open and the two steps after it. As you move through the steps, the PDFs of the steps further ahead are translated
- While a translation is being created, the original is shown, and "Translating into (language). This may take a few minutes." appears at the bottom left of the PDF. When it is ready, the screen switches to the translation
- While you view a translation, "Machine translation (language)" and "Back to original" appear at the bottom left of the PDF. After you go back to the original, you can switch back to the translation with "View machine translation"
- Steps that show the same PDF use one translation
- If you choose a translation language in "Preload," translations of the step PDFs are also created and loaded onto your device. (For an SOP that takes a long time to create translations, some translations may not be loaded.)
- Text in images within steps, and attached files, are not translated
Original language for translation
Translations are created from the original language set for the SOP (the default is Japanese). If you register a file in a language other than Japanese, set the original language in "Playback & display settings," which is under "Basic information" on the SOP's edit screen. When you choose the same language as the original language, no translation is made.
Translation on smart glasses, External Sharing, and offline
- On smart glasses, you can also choose a language from the translation button
- People who view through an External Sharing URL or a Guest invitation can also choose a language. If there is no translation, one can be created
- If you choose a translation language during "Preload," the translated files are also loaded onto your device and can be viewed offline. A translation you opened once also stays on your device
- While offline, you can only choose translations that are already loaded on your device
Files that can be translated
- Up to 20 MB per file
- PDFs with text can be up to 300 pages. PDFs without text (scanned) can be up to 20 pages. For a PDF over 20 pages, only the pages with text are translated
If a translation cannot be made, the reason is shown, such as the file size, the number of pages, or a timeout.
Frequently asked questions
Q. The message "File translation is available on the Pro plan or higher" is shown.
A. Translation of file-based SOPs and step PDFs is available on the Pro and Enterprise plans. Translations that have already been created are shown regardless of plan.
Q. Can I edit the wording of a translation?
A. A machine translation cannot be edited inside Dive. If you register your internal terms and their translations in the Terminology Glossary, they are used when translations are created.
Q. When I open a page that matched a search in the file text, it is shown in the original language.
A. The matched page uses the page number of the original file, so it opens in the original language. After opening it, choose a language from the translation icon.
Q. Are there subtitles or read-aloud?
A. File-based SOPs do not have subtitles or read-aloud. The translated file is shown.
